How it started: AI-powered and human-centered

Working in a globally distributed team with disparate tools can make collaboration feel disjointed and slow. Miro is changing that with an AI-powered collaboration workspace designed to streamline and accelerate innovation. In addition to the platform’s AI integrations, the Miro team is committed to incorporating AI into every part of their business, including the interview process.

“From a talent acquisition perspective, Miro’s strategic priorities are mainly embedding AI into our interview process as much as we can,” explained Talent Operations Manager Rico Habraken.

While the team is committed to AI, they also believe in the power of the human touch. They knew addressing these two priorities would improve the hiring experience and drive internal efficiency—but only if they could strike the right balance.

Hypergrowth leads to hyper-growing pains

Miro’s need for efficiency peaked around 2021, a period of unprecedented growth for the company. At the time, their fully manual recruitment process couldn’t meet the challenge. “Back then, we didn’t have an automated scheduling tool, so we needed to do a lot of manual work and manual intervention to try and get all the hires into Miro as fast as we could,” Rico said.

The recruitment process was lengthy and labor-intensive, and it caused delays when setting up interviews with applicants in different parts of the world. “Miro is operating globally from America to APAC to EMEA, which brings many time zone challenges,” said Rico. “When scheduling back and forth like that, it’s easy to make mistakes.”

Another frustrating limitation was the ability to keep every recruitment professional on the same page. With so many interviewers and agendas to juggle, communication was slow and often inefficient.

Miro needed a scalable platform that empowered recruitment coordinators to build a fast, consistent path to hiring. They also wanted more than a scheduling tool or basic automation platform—they needed innovative, human-centric AI to deliver engaging experiences to both candidates and recruiters.

Finding a kindred spirit in GoodTime

When the Miro team discovered GoodTime, they saw the potential to support their use of human-centered AI while increasing automation and transitioning away from manual efforts. Some early wins justified the team’s decision.

“It integrated well with our systems, our coordination team loved it, it had high adoption among recruiters, and the customer service team was great,” he said. “Partnering with GoodTime has been and still is the right decision for our team.”

For recruitment coordinators like Justyna Michalik, adopting GoodTime was surprisingly simple. Even in a period of so much active growth, the integration with their applicant tracking system (ATS) was flawless.

“All systems, including our ATS, were seamlessly connected. It was really impressive since we were extremely busy looking for new talent to join our team,” she said. “Thanks to GoodTime, we were able to have a smooth transition while maintaining this incredible pace of recruitment.”

Another differentiator is the GoodTime customer service team. In addition to providing necessary support, they proactively reach out to share information on the latest features and updates, and to help Miro make the necessary adjustments to meet its business goals.

GoodTime now plays a pivotal role in Miro’s global talent acquisition strategy, particularly around planning and forecasting. “If we indicate we can land key hires in specific divisions, then we need to make sure we deliver,” Rico said. “GoodTime helps us ensure that the part we can control—scheduling— will not impede with that basic timeline we promised the business.”

Increased efficiency leads to an operational transformation

Since partnering with GoodTime, Miro’s recruitment team has become much more efficient. Recruitment coordinators are 3-4x more productive and focus on high-value work over administrative tasks.

“We’ve seen significant increases in productivity with GoodTime,” Rico said, adding that over the past four years, Miro has scheduled more than 60,000 candidate interviews. Improved scheduling efficiency has created resilience through fluctuations and scheduling changes, leading to greater confidence in the company’s continued flexibility.

Miro’s recruitment team has been able to remain efficient and effective despite its lean size. “We have a small team of recruitment coordinators, and they’re able to maintain global coverage between Australia, Japan, the US, and Europe,” Rico said. “They are scheduling more than 7,000 unique candidates a year, which is insane. That’s something we wouldn’t be able to do without GoodTime.”

Even with such a small team, the recruitment coordinators continually drive scheduling and workflow efficiencies. GoodTime makes highly complex technical interviews easier to handle, and recruiters can monitor scheduling data, adjust calendars and spreadsheets, and collaborate swiftly without switching between multiple tools.

“By implementing GoodTime, we were able to eliminate a massive piece of manual work and streamline coordination activities around recruitment journeys,” Justyna said. “Because of that, we were able to commit to delivering a top-notch candidate and hiring team experience.”

Delivering a stronger candidate experience

Today, Miro is navigating growth much more easily using GoodTime’s built-in features. More than automating repetitive tasks, the platform equips recruitment coordinators with the resources to juggle thousands of candidates without losing their human touch — “The biggest benefit of working with GoodTime is the all-in-one feature set,” Justyna said. “This makes our candidate experiences so much stronger, from the first recruiter screen to the final leadership interview.”

She mentioned that in the last 30 days, 115 unique candidates accessed the Miro Candidate Portal around 254 times. “Our recruitment experience is much more engaging, which makes it easier for candidates to find their dream jobs.” For Rico, GoodTime is an indispensable asset that enables Miro to hire quickly and efficiently, regardless of where candidates are.

“I can clearly see and measure bottlenecks in the process, especially if you drill down into turnaround time, lead time, time to schedule, or request to interview,” he said. “I can easily compare this against our competitors in the industry—and currently, thanks to GoodTime, it looks like we’re leading the pack.”
